Periodic emails

1. Email settings

A list of all periodic emails will display. New periodic emails can be created here. Also, from here you have access to basic information on all periodic emails created in the past. In order to create a new periodic email, click [ + ] New periodic email.

From the dropdown list choose email which you want to send periodically. You can find the Preview button next to the dropdown list. Click it to see how your email displays in the browser. Click Continue to go to the next step.

[1] Checkbox: active/inactive – if this is checked, the periodic email will start working as soon as you finish its creation. This option is only visible while creating new periodic emails. The active/inactive status can be changed at all times in the previous window (the one with a list of all periodic emails)

[2] Email name – here you can see the name of the message being sent

[3] Email account – the address of an email account that will be used as for sending

[4] Periodic email name – here you can see the name of this periodic email (note that this is not the message title)

Below, you can choose the way messages will be sent. It is possible to set messages to be sent a number of days before a certain date, at regular time intervals and on certain days of the week or holidays.


2. Frequency settings

[1] Send emails x days before the date from details – using this option you can set messages to be sent a number of days before a certain date that is important to a contact (e.g. their birthday). You can choose the detail by typing its name in the ‘name’ field, and the number of days in the ‘send email [   ] days before date from detail’ field.

[1] Send periodic email – using this option you can set messages to be sent every (number) of (unit of time).

[2] Period – choose the period when you want to send period emails (every month, every two months, etc.)

[3] Sending frequency – here you can define on which days of the week messages will be sent.

Option: Send on holidays – check this option if you want messages to be sent on holidays.

[4] Addressees – in this field, you can specify to whom will the message be sent. You can input contact names, email addresses, and tags . This process is in many ways similar to ordinary mailing. You can also use buttons to the right to add contacts based on tags, funnels, mailings and defined contact groups.

TIP: If a contact group is added based on any criterion, i.e a tag, the system will always check before each sending if any changes were made to that group. Thanks to this, contact groups will be always up-to-date with regards to sending periodic emails.

[5] Exclude Addressees – in this field, you can specify who will be excluded from receiving the message. You can input contact names, email addresses, and tags. You can also use buttons to the right to add contacts based on tags, funnels, mailings and defined contact groups.

[6] Use custom filtering – after checking this box you can add further filters (e.g. by scoring , age, domain) from a list

TIP: You can send periodic emails depending on details included in contact cards. 

[7] Subject line – what will appear as the subject line of a message sent using this process. You can also add simple symbols to the subject line using the Insert Symbol button.

[8] Date of first sending – here you can schedule the date of first sending for this periodic email.

[9] Automatically determine the best time to send to monitored contacts – tick the option and the emails will be sent automatically during the time when the users demonstrate the highest activity.

[10] Campaign name – here you can input the name this periodic email belongs to. This will allow it to be tracked by Google Analytics.

In order to finish working with this item, click the Save button at the bottom.
